As the ad.ministrative director of ad.visor, you will serve as the right hand to the CEO, ensuring daily operations run seamlessly. Your role is to keep projects, schedules, and priorities on track, allowing the CEO to focus on high-impact decisions and innovation.
You will manage communications, scheduling, workflow automation, and task delegation, while also supporting business development, client relations, and operational efficiency.

Daily Responsibilities
Calendar Management – Optimize scheduling, book meetings, and ensure seamless time management across multiple time zones.
Inbox & Communications Management – Draft and respond to emails, manage follow-ups, and filter non-essential inquiries.
Task Prioritization – Track and manage daily to-do lists, keeping priorities aligned with business goals.
Meeting Preparation & Summaries – Prepare agendas, compile research, and summarize key takeaways from meetings.
Client & Stakeholder Correspondence – Maintain professional, timely communication with clients, partners, and vendors.
Workflow & Automation – Use Asana, Google Suite, and Zapier to streamline operations and automate repetitive tasks.
Project Support – Assist with executing high-level marketing strategies, proposals, and initiatives.
Discretion & Confidentiality – Handle sensitive business and personal matters with the utmost professionalism.
Weekly Responsibilities
Project Tracking – Monitor progress on key initiatives and provide updates.
CRM & Data Management – Keep Google Sheets, Mailchimp, and CRM tools updated with relevant contact information and interactions.
Financial Oversight – Track invoices, reconcile expenses, and coordinate with the CEO’s accountant.
Team Coordination – Liaise with contractors, freelancers, and vendors, ensuring project deadlines are met.
Client & Partner Follow-Ups – Proactively check in with clients and strategic partners to maintain relationships and move initiatives forward.
Monthly Responsibilities
Performance Review & Optimization – Evaluate workflows, suggest improvements, and implement efficiency upgrades.
Strategic Planning Support – Assist in goal-setting sessions and track progress on key business objectives.
Event & Travel Coordination – Plan and organize any upcoming business trips, events, or conferences.
Marketing & Social Media Oversight – Ensure scheduled content, ads, and engagement efforts align with overall brand strategy.
